1121 Chapter 7:Worker guides • Section 4: Child Care worker guides (07/2026) Review case notes for any payments made towards the copay (these case notes will be made by DPU); deduct this amount from the voucher copay amount to determine the current amount owed. Attempt to contact the provider by calling the last known number listed on DPPM. It is the provider’s responsibility to keep their contact information up to date with DPU, even if they are no longer providing care. Make case notes regarding your conversation if you are able to speak to the provider. Do not give the caretaker’s information until you know that you are speaking with the correct provider. If you reach the provider: (a) Explain that the parent/caretaker would like to pay an outstanding copay amount, but cannot reach the provider. (b) Verify the month and the amount of the copay. (c) Get the provider’s permission to give their phone number or address to the parent/caretaker. (d) Explain that we will need a receipt or signed, dated statement verifying that the copay has been met or that satisfactory arrangements have been made. If you cannot reach the provider: Send a note or email to the provider (email addresses can be found on DPPM if the provider has reported one to ODHS). Give your contact information, not the parent or caretaker’s. Explain that the copay will be considered met if the provider does not contact the office; give ten days. Create a reminder. If the provider makes contact, follow the directions above. If the date of the notice has passed, make a case note that the family has made a good faith effort to pay, and contact DPU to clear the copay not met from the system. Make case notes regarding all actions and conversations. Title the final narration CNM PAID or CNM CLEARED, depending on the outcome. Some providers may not want to give out their contact information. Some other options are to provide a PO box, use a third-party contact person or mailing address, set up a meeting time at a public place, or they may offer their own satisfactory arrangement. ODHS will not accept or mail payments on behalf of the family to the child care provider. It is the responsibility of the parent or caretaker and provider to work out payment arrangements.
