1119 Chapter 7:Worker guides • Section 4: Child Care worker guides (07/2026) Leave(AML) or Authorized Military Transition (AMT); • When student hours are needed; • Discharged military member returning from active duty in a war zone. Acting on changes • Close ERDC with timely notice, when income is at or above the ongoing income limit; • The copay is adjusted down when income decreases (do not adjust for increase in income (even when verified); • Adjust work hours up if work hour increase is verified. Do not adjust down (even when verified) – this is important for continuity of care; • When a job loss occurs, schooling is terminated or a self-employment business fails: determine the reason and follow policy for Authorized Work Search (AWS), Authorized Medical Leave (AML) and Authorized Military Transition (AMT). • Always make case notes regarding reported changes and the action taken. Caution: If companion SNAP case exists, follow SNAP policy for acting on changes for SNAP case. Work schedule The work or school schedule (days of the week, start and end times) is needed to determine the caretaker’s usual times for child care need. The schedule may be reported by the individual on the application or through the interview. The schedule is used for program integrity purposes such as identifying inconsistencies with payments to providers. Work and school schedules are NOT used to determine the authorized child care hours. Can be accepted with participant statement. ERDC payments to multiple providers Designating a primary provider All families receiving ERDC must choose a primary provider. The family should designate their primary provider as the provider who is giving the most amount of care, as copay amount is deducted from their payment. DPU cannot issue a billing form for ERDC unless a primary provider has been designated. To indicate which will be the primary provider, the worker checks ‘yes’ in the Primary Provider field in the ODHS Use Only box on the Child Care Provider Listing Form (7494). If a secondary provider sends in their listing form first, no billing forms will be issued until the primary provider has been approved for payment. Unless there is a break in eligibility, the designation of the primary provider remains in effect per DPU records until a different primary provider is selected, and the family or branch staff contacts DPU. If a family ends care with their primary provider but still has a secondary provider, no billing forms will be issued unless a new primary provider is designated by the family. A notice is sent to the family letting them know why billings could not be sent. Copay splits: When a family uses multiple providers, their total copay cost is assigned automatically to the primary provider. However, if the primary provider bills for less than the family’s copay amount, DPU may split the copay amount in future months between the primary and secondary provider(s).
