605 Chapter 3:Processes and procedures • Section 1: Acting on reported changes (07/2026) Processing income changes • Add reported change to the case in ONE.
If an individual reports both a non-eligibility address change AND an eligibility change at the same time (new job and new address) process the non-eligibility update first. Process the eligibility related change after the address so that the address change goes to MMIS immediately. Otherwise, processing both changes in the same action, may impact timely Medical CCO enrollment. • If the reported changes can potentially impact financial eligibility, run eligibility and authorize all programs to determine if additional information or verification is needed. • If additional information or verification is needed, determine if a manual RFI needs to be sent. (ONE sends most RFIs automatically, but there are a few exceptions.) • If a manual notice is needed, send out an RFI or DHS 0210A form allowing 10 days from the date the written request is mailed for return of requested information. The worker should only allow more than 10 days if circumstances require more time (e.g. individual must send away for financial documentation); however, the deadline should allow sufficient time to complete the eligibility determination before the 45th day following the date the change was reported or discovered (unless there is good cause to extend beyond the 45th day). • Add a case note for any actions that require an explanation or additional information. • If the individual does not return the requested information by the deadline on the RFI or DHS 0210A form, ONE will automatically deny or close benefits with timely notice. • When a change reported has a potential impact on case management (e.g., TANF JOBS status, LTC Services Programs), notify the appropriate SFO via the branch transfer email.
Refer to the Cash Assistance Hand-Off to Family Coach Eligibility Guide. When an individual makes a timely report of a change that could reduce or end medical benefits, ODHS|OHA must review each individual in the filing group for other medical program eligibility prior to reducing or ending medical benefits. If a reported change results in insufficient information to determine how the change will affect the benefit group’s eligibility and benefit level, ODHS|OHA may shorten the redetermination period and require a new application. Mass changes initiated by the state or federal government affect significant portions of the caseload. Because ODHS|OHA is notified of these changes by the agencies responsible, individuals do not need to report the following changes when they occur: • Periodic cost-of-living adjustments to SSB, SSD or SSI benefits, • Periodic cost-of-living adjustments to other assistance programs administered by ODHS|OHA, or • Changes in eligibility criteria due to legislative or regulatory actions. HSD Income changes • Changes in income must be reported within 10 calendar days of their occurrence. These changes include:
