437 (07/2026) Chapter 2:Eligibility • Section 6: Non-financial eligibility Examples of evidence for an attempt to locate the provider include returned mail, a phone call from the worker, or contact with the local Child Care Resource and Referral Agency (CCR&R). If a provider refuses to accept the copay because the caretaker also owes charges above the ERDC-allowed, acceptable evidence may include a letter from the provider, a returned check, or verification through a worker’s phone call. Once the worker verifies that the copay requirement has been met, the family can proceed with the renewal or reapplication process. The worker must add a case note and send an email sent to DPU requesting the copay flag be changed back to a “Y” and billing forms issued. The effective date of ERDC approval will follow standard application processing timeframes. If the copay arrangement is satisfied within the 45-day application processing period, ERDC will begin on the first day of the DOR month.
Removing an unmet copay on a case that remains closed To prevent payment problems and to clear up history payment records, an unmet copay flag is removed on a closed case when: • Three years have lapsed from the month the copay was not met. The Copay Not Met disqualification will end in ONE but the application process will not be complete until an email is sent to DPU to clear the Copay Not Met identified from DPCS, or • Satisfactory arrangements for copay are met and verified.
