Child Care Assistance Program Policy Manual Issued 08/2022 Legal nonlicensed providers – Annual monitoring 11.9.18 What other responsibilities do agencies have after a visit is complete? Record completed visits in MEC2 If the provider demonstrates full compliance with the monitoring visit, the CCAP agency must record the date the monitoring visit was completed in the “Annual Inspection” field in the Provider Training window in MEC². Even if the provider submitted documentation after the visit to show they corrected issues to meet requirements, enter the date the monitoring visit was completed for this date. It is recommended that the provider worker document all monitoring visit information and communication with providers in MEC² on the Provider Notes window. Submit visit summary to Department of Human Services After an annual monitoring visit is performed and any necessary follow up is complete with the provider, the agency must complete the Child Care Assistance Program – Monitoring visit summary (DHS-7867A) and submit to the department at dhs.ccap@state.mn.us. This form must be submitted for all monitoring visits. Review monitoring visit dispute requests If the provider believes a monitoring report is inaccurate, the provider must contact the agency that conducted the monitoring visit to request a review. The agency must review the request. If an inaccuracy is found, the agency must correct the monitoring report and submit the corrected report to the Department of Human Services. The department must correct the posted monitoring report within 30 days of receipt. How is annual monitoring information posted? The department posts monitoring visit results using the Child Care Assistance Program – Monitoring visit summary (DHS-7867A) form publicly for three years. The results are posted by the provider identification number and date of visit on the department’s Legal nonlicensed provider annual monitoring webpage. When are monitoring results posted? The department will post monitoring reports within 30 days after they are received by the county or tribal agency. Legal authority Federal Child Care and Development Fund, 45 C.F.R.
